Event Description

Venue details

CASA23 will take place at the Royal Institute for the Tropics (www.kit.nl), based at a national heritage site in Amsterdam. KIT Royal Tropical Institute is an independent centre of expertise, education and hospitality dedicated to sustainable development. Sponsors will be placed in the Marble Hall, which is 295 m2 and has a phenomenal atmosphere. We can provide tables, tv screens and there is a wifi network available. There will be break-out sessions in two other grand rooms and the main stage is in the Queen Maxima hall. 

There is no opportunity to use backdrops because of the historic nature of the building, however a table will be provided and banners can be (carefully) placed.

Setup

Setup will be Monday morning September 18, from 11:30 to 12:30. Please enter at main entrance at Mauritskade 63. The expo layout will be provided beforehand, and our team will be there to assist. 

Please be aware that due to the historic venue and nature of the building there are very specific rules about your set up:

  • There can be no use of nails, duct-tape and/or stapling. 
  • Tables, chairs, and other goods must be lifted when replaced.
  • Heavy materials must be lifted with at least two persons.
  • Furniture, show panels, and other materials placed on the floor must be provided with adequate protection, such as felt caps.
  • No heavy transportation is allowed on floors and stairs.
  • The use of wheeled trolleys, platform trailers are only permitted with rubber/plastic wheels to prevent damage to the floors.
  • Do not place materials against walls and columns, not even during construction and dismantling.
  • It is not allowed to stick or paste posters or such on the walls or pillars. 

Power supplies will be made available for all participants, TV screens can be arranged at additional costs, please ask in advance if you wish to hire a TV screen on a stand.

Safety 

During the setting up and breaking down of an event, the security, technician, and supervisor are responsible for the safety. Some important attention points regarding safety are; constructing cords and cables in a trip safe manner, do not use unsafe equipment, cords, and cables, and do provide felt under objects. 

Dismantling

The standard dismantling time for an event in the rooms is one hour, and should be done immediately after the closing of CASA23 on Tuesday or Wednesday (for members) afternoon.

Like with the set up the same cautious rules apply with dismantling your booth/tables. 

Parking

There are no parking spaces available on the location itself and Amsterdam is not known for it’s car friendliness, so please use public transportation or Uber as much as possible.

If you must come by car, parking is available at Q-Park Oostpoort:

Beware that September is a popular and busy month in Amsterdam, so make sure to make arrangements for your team asap!

Artwork & Branding Guidelines

Due to the monumental status of the building, it is not allowed to nail, staple, screw, paint, paste, or glue in and to the building. It is also not allowed to secure materials to the walls, pillars ceilings, windows, and doors with tape. The use of nichiban NT116 tape is allowed for use on the floors.
